The Role

The Office Administrator will be the central point of contact for office operations, ensuring seamless and efficient daily functioning. This role encompasses a wide range of administrative tasks, providing essential support to various departments and personnel within the organization.

Key Responsibilities
  • Reception & Guest Management:
  • Greet and welcome guests, directing them to the appropriate contact or meeting area.
  • Answer and manage incoming calls, taking accurate messages.
  • Office Environment Management:
  • Maintain a clean, organized, and professional appearance for the reception area, workspace, and meeting rooms.
  • Ensure office hygiene standards are met.
  • Financial & Vendor Management:
  • Process timely payments for service fees (rent, utilities, internet, telephone, courier, transportation, etc.).
  • Manage maintenance and repair services for office equipment, machinery, facilities, and the building, ensuring optimal functionality.
  • Maintain and manage office supplies inventory, including ordering stationery, pantry supplies, and arranging travel.
  • Handle, receive, and collect office expenses, employee expense documents, and supplier invoices, submitting payment requests to the Accounting department.
  • Asset Management:
  • Manage and track office equipment and assets.
  • Event & Activity Coordination:
  • Assist in organizing internal activities, such as company trips, team lunches, training sessions, and other events.
  • Recruitment & Onboarding Support:
  • Assist in the recruitment process by posting job information, screening resumes, and scheduling interviews.
  • Support the onboarding process for new employees.
  • Prepare workspaces, equipment, and office facilities for new hires.
  • Reporting & Administrative Tasks:
  • Complete reports and other tasks as assigned by the HR Manager.
  • Provide support for ad hoc tasks and initiatives aimed at improving the office environment (up to 10% of duties).
Requirements
  • Bachelor's degree in Business Administration or a related field.
  • Minimum 1 year of proven experience in an administrative role.
  • Proficient in written and spoken English.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace.
  • Experience with Canva and Capcut is desired.
  • Proactive problem-solving skills and the ability to anticipate needs.
  • Ability to work independently and build strong relationships with team members and external stakeholders.
  • Excellent interpersonal, follow-up, and problem-solving skills.
  • Artistic or sports talents are a plus.
